Understanding Your Guest List
The first thing you gotta do is take a good hard look at your guest list. It might seem like a no – brainer, but it’s the foundation for determining how many favor boxes you need. Start by making sure your guest list is as accurate as possible. If it’s a wedding, you’ll want to consider things like plus – ones. Some guests might bring a date, so you need to account for that.
Let’s say you’ve sent out invitations to 150 people, and historically, about 80% of the people you invite actually show up. That means you’re likely to have around 120 guests. But remember, if there are couples or families on your list, you might need to adjust your numbers. For example, if a family of four is coming, you’ll want to give them one favor box for the whole family or four individual ones, depending on the type of event and your budget.
Types of Events
The type of event you’re having can also play a big role in deciding the number of favor boxes.
Weddings
Weddings are all about making every guest feel special. Usually, you’ll want to have a favor box for each guest. Even if you have couples or families coming, it’s a nice touch to give each person their own little keepsake. So, if you expect 120 guests at your wedding, you should order 120 favor boxes.
However, it’s also a good idea to order a few extras, maybe 10 – 15 more. Sometimes, last – minute guests show up, or you might want to give a box to your vendors as a thank – you.
Birthday Parties
For a birthday party, it depends on the age group. If it’s a kids’ birthday party, you’ll definitely want a favor box for each child. You don’t want any little one going home empty – handed. But for an adult birthday party, you might be able to get away with a couple of boxes for each table if it’s a more casual event.
Let’s say you’re having an adult birthday party with 50 guests seated at 10 tables. You could order 20 – 30 favor boxes and place a couple on each table for guests to share.
Corporate Events
Corporate events are a bit different. You might want to give favor boxes to all the attendees, but sometimes, it’s just for the VIPs or the speakers. If it’s a large – scale corporate event with 500 attendees and you’re giving boxes to everyone, you’ll need to order 500. But if it’s just for the 50 VIPs and speakers, then 50 boxes will do.
Consider Your Budget
Your budget is another crucial factor. Favor boxes can vary in price depending on the materials, design, and size. If you’re on a tight budget, you might need to get a bit creative.
For example, if you can’t afford to give every single guest their own box, you could group guests by table or by family. Instead of 120 individual boxes for a wedding with 120 guests, you could order 30 larger boxes to put on each table for guests to share.
On the other hand, if your budget allows, going all out and giving each guest their own unique favor box can really add to the luxury and personal touch of your event.
The Extra Factor
Like I mentioned earlier, it’s always a good idea to order a few extra boxes. Stuff happens! Maybe a last – minute RSVP comes in, or a guest brings a plus – one that you weren’t expecting. And it’s better to have a few extra boxes than to run out.
I usually recommend ordering an extra 5 – 15% of the total number of boxes based on your expected guest count. So, if you’re expecting 100 guests, order 105 – 115 boxes. That way, you’re covered for any surprises.
What to Do with Leftover Boxes
If you end up with some extra boxes after your event, don’t worry! You can save them for future events. Maybe you’ll have another party or a similar gathering down the road. Or, you could donate them to a local charity or a community center. They might be able to use them for their own events.
